Why is a payment counted twice, and how do I stop it?

Usually because the same money was recorded twice: once when you recorded the payment on the invoice or bill, and again from the bank line. Deline warns you before this happens, and a line recorded twice can be undone without deleting anything.

How does Deline warn me?

  • When you open a bank line that is already recorded: "This bank line is already in your books." "It was recorded on …. Open the draft or journal in Daily work to change it, so it is not counted twice."
  • When an invoice payment is already recorded, match the bank line to it in Reconcile instead of recording it again. Matching moves no money and posts nothing new.
  • A statement file imported a second time is refused: "This file was already imported on …."

How do I fix one that is already twice?

Open the line in Reconcile and press Undo. "The books post the exact opposite entry on the same date. The original stays in the history, so nothing is deleted." The line is then back, ready to match to the payment you already have. See Fix a bank line recorded twice.

What if the line was reconciled already?

Undo the reconciliation first: "This statement is reconciled. To unmatch a line, undo the reconciliation first."

If something goes wrong

  • "The books kept this match: a locked period or a recorded reconciliation still relies on it. Undo that reconciliation or reopen the period first."
