What happens when a customer pays only part, or more than the invoice?

A part payment is recorded for the amount that arrived, and the invoice shows Partially paid with what is still due. A payment larger than the balance can be split: Deline records the balance and, where your books allow it, keeps the extra as the customer's credit.

A part payment

Record the amount that reached your account. The invoice keeps the rest open and shows it under Payments & credits. Use remaining balance fills in exactly what is still owed when the customer pays the rest. See Record a payment on an invoice.

More than the invoice

Deline shows … more than owed: "This payment is … more than the … still owed on this invoice." You can then press Record …, keep … as credit:

  • The invoice is paid in full.
  • The extra is held for the customer in your books as customer credit (Customer deposits). Apply it to their next invoice, or pay it back, in Receipts & payments.

When can't the extra be kept as credit?

  • "Keeping the extra as customer credit works in books kept in USD for now. Record the remaining balance, then pay back or invoice the difference."
  • "This customer is not in your books yet, so the extra can't be kept as credit here. …": record the remaining balance; the customer is added when their invoice is posted.

If something goes wrong

  • "This amount is higher than the remaining balance. Check the amount or refresh for recent payments.": someone may have recorded a payment meanwhile. Press Refresh balance.
  • "We could not confirm the result. …": check the invoice or retry the same request; do not record a second payment.
