What is Receipts & payments for?

It records in your books money that has already come in or gone out, and matches it to the unpaid documents your books keep themselves, above all the unpaid invoices and bills you brought over with your opening balances. It does not send or collect money, and it is not where you record a payment on an invoice you issued in Sales.

What can I record here?

Open Accounting → Daily work → Receipts & payments.

  • Record receipt: money a customer paid you. Choose the Cash account the money went into and the Customer, then tick the documents it pays under Match invoices.
  • Record payment: money you paid a supplier. Choose the Vendor and tick the bills under Match bills.
  • You can switch between the two with Recording type. Enter the amount for each ticked document and press Review allocations. Deline checks the balances, the dates, the accounts and the accounting period before you record.

The documents you can tick are the unpaid items your books hold in their own currency, such as those entered in Unpaid items when you set up your books.

Why can't I tick an invoice I issued in Sales?

Its checkbox stays off, and Deline says "This document is included in the balances. This action is not available for its document type." An invoice issued in Sales reaches your books as a different kind of document. Record its payment on the invoice itself: open it in Sales & invoices and press Record payment. Deline then updates the invoice and your books together. In books kept in US dollars a Sales invoice can sometimes be ticked here; record its payment on the invoice anyway, so the invoice shows as paid too.

A bill you recorded in Bills is paid from the bill (see Record that you paid a bill).

What does the list show?

Every receipt and payment recorded between From and Through, with the filters All entries, Receipts and Payments. Open an entry to see its details. Correct this entry reverses it in full in your books; the original stays in history.

Who can record?

The owner or the accountant. Everyone else sees "You can review a proposal. Only an owner or accountant can record it."

If something goes wrong

  • "No matching documents for this date. Try another date or party.": this customer or supplier has no unpaid document in your books on that date. Check the date, or record the payment on the invoice or bill itself.
  • A document cannot be ticked: it was not created as an unpaid item of your books. Record its payment where the document was made.
