How do I write off an invoice a customer will never pay?

In Accounting → Write-offs, find the invoice under Open customer invoices, enter the amount, the date, the account and the reason, and press Prepare for approval. A second person then approves it, and only then does the write-off reach your books. The invoice itself is not deleted; the amount you won't collect moves to a bad-debt expense.

Where do I find the invoice?

Open customer invoices lists every customer invoice with an outstanding balance. Choose All open to see them all, or Over 90 days overdue to see the old debts first.

How do I prepare a write-off?

1. Next to the invoice, press Review write-off (for a Spanish invoice: Write off). 2. Enter the Amount (at most what is still owed), the Write-off date, the Expense account for bad debts and the Reason. 3. Press Review write-off, check the summary and press Prepare for approval. Preparing posts nothing.

For a Spanish invoice, Deline first asks How to write it off: In the books only, or Recover the IVA when the legal conditions are met (Deline lists them and the dates when a corrective invoice can be issued).

Who approves it?

A second person: another owner, the accountant, or a team member whose access includes approving in the books. The request waits under Waiting for approval; that person presses Approve, checks it and presses Approve and post write-off. The person who prepared it can Withdraw it; the approver can Decline it. Withdrawing or declining writes nothing off.

If you are the business's only owner and nobody else can approve, press Approve without a second person… next to your own request, write down your Collection evidence (for example a demand letter and three reminders) and press Confirm write-off. Your reason and evidence are kept with the write-off, and your books record that no second person was available.

Where are write-offs recorded?

In an expense account marked for bad debts. If none is marked yet, the owner opens Where write-offs are recorded at the bottom of the page, picks the expense account and presses Mark as holding bad debts. This mark is permanent.

If something goes wrong

  • No account to choose: ask the owner to mark one under Where write-offs are recorded.
  • The invoice is not in the list: it has nothing left to pay, or it is still a draft.
